And we'll do it with the utmost integrity, and in an environment where everyone is seen, heard and feels like they belong.Join Team Amex and let's lead the way together.Functional Description The Administrative Assistant will be primarily responsible for supporting VP & Group Counsel in the General Counsel Organization. The ideal candidate should be proactive, organized, collaborative, resourceful, responsive, and a forward-thinker, who should be adept at scheduling, coordinating calendars across markets globally, organize travel and expense management, along with other administrative responsibilities to support the VP & Group Counsel and General Counsel Organization team in general. Essential to this role is a passion for learning, a strong work ethic and demonstrated personal excellence.Key Responsibilities:1.Pro-active calendar management of VP including, at times, setting up complex meetings across multiple colleagues and across geographies.2.Organizing and coordinating senior leadership visit, internal/external meetings including team events, making all necessary arrangements including sending invites, understanding meeting requirements, booking rooms, ensuring needed equipment is in place and taking care of operational, and catering needs (as may be needed).3.Maintaining and regularly updating organizational charts and support in creating/finalising Power Point Presentations.4.Managing travel itineraries and arrangements (domestic and international), including air, hotel, transfers, and agendas, processing/reconciling travel expenses, schedule meetings and appointments, organize, and maintain paper and electronic files thereof.5.Organizing team meetings, GCO Town Halls (with teams based across different geographical locations), team huddles, fun Fridays, offsite events, birthdays, anniversaries, and any other colleague events.6.Manage the expense reports of the VPs in accordance with T&E policy.7.Coordination for recruitment and on-boarding and off-boarding of team member and arranging for workstation, laptop's, office supplies etc.8.Record keeping, expense management and managing Outside Counsel budget.9.Broader administrative responsibilities such as maintenance and updation of email distribution list, team organizational charts and other tasks as needed.10.Responsible for meeting logistics including meeting or office room coordination and less frequently, food coordination, printing, or telepresence set-up.Minimum Qualifications and Skills:1.Must be a graduate with minimum 4+ years of experience in a similar capacity.2.Excellent communication skills and someone who can influence at all levels of the organization and is collaborative.3.Must have good organizational skills, should be responsive and have attention to detail.4.Excellent time management skills and the ability to prioritize work and multi-task if needed.5.Proven problem-solving skills and ability to independently arrive at a solution.6.High level of proficiency in using MS Office including Word, Excel, and PowerPoint.7.Knowledge of platforms such as Concur, Reserve, Cisco/WebEx, One Drive, Navigator, Payroll, IIQ, TechCare and Serengeti Tool is preferred.8.Demonstrate personal excellence and strong work ethic with will-to-win.9.And as importantly, ability to have fun.We back our colleagues and their loved ones with benefits and programs that support their holistic well-being.
