Administration and Facilities Team in India is the central Team which coordinate with all the entities India to help in providing the real-estate need as well as maintaining commercial offices and provide support to the organization in India with various Insurance Policies ,Relocation of Employee travel and other support services.

Position Purpose
Provide support to the organisation in Providing Timely MIS and cost report. The team member will also contribute in floating of RFP for Insurance which cover mostly Liabilities and asset Insurance
Responsibilities

INSURANCE
· To co-ordinate for renewals / new Insurance requirements with Group Entities / HR / IT & ensure timely renewals / insurance of new assets.
· Follow up with the insurance Co.'s for quotes, assist Manager in negotiations, Prepare a comparative (initial quote & final quote)
· Obtain Management approvals & finalize the Insurance Co.
· Process for payments on a timely basis & follow up for the policies
· To keep a track of all Insurance expiry dates, renewal dates.

Relocation and Records Management
o To co-ordinate and prepare documentation related to Relocation of household effects of Employees/Expats, Movement of IT Equipment and Non IT asset movement
o To coordinate with Record Management Co. to ensure documents are collected on timely basis
o To process the PAN India invoice and monitor the cost. Main MIS & update filling

Fixed Asset Verification
o To Coordinate with finance Team for providing Fixed asset register
o To Coordinate with External Auditors and Facilities Teams for identification of assets
o To Coordinate with External Auditors for providing reports upon verification of assets

Monthly Provision Reporting
o To co-ordinate with Facilities Teams, Branch FMs for collating data for monthly provision reporting to Financial Control
o To scrutinize the payments made and unpaid invoices during the month for preparing the data
o To prepare and share provision data to Bank and ISPL Financial Control teams.
o To prepare and collate necessary detail and supporting as justification for variances in data if any.

GENERAL
· To co-ordinate and prepare documentation related to Insurance & Cars
· Maintain MIS/ Dashboard for Insurance & Cars
· Filing of documents

Technical & Behavioral Competencies
Technical:MS Office , MS Excel, MS Word , MS Power Point & SAP MM Module
Behavioral:Communication and Negotiation skills
Specific Qualifications(if required)

Commerce Background with good Knowledge on expenses accounting as well as Good Knowledge of Microsoft office
